A flooring sample and a quotation are a starting point. Before an order is released, the project team needs a clear record of what has been selected, how it will be installed and what is included in the supply.
For designers, dealers and project teams, these six checks can help resolve questions early, while changes are still easier to make.
1. Confirm the exact product
Record the manufacturer, collection, style, colour, product code, dimensions and backing or construction. Match the technical information to the actual selection. If an alternative is proposed, identify it clearly and obtain the consultant’s approval.
2. Approve a physical sample
Use digital images to explore options, then review a physical sample before final colour approval. Record the approved style and colour numbers, and discuss any intended pattern variation. Keep the approval with the project’s specification and quotation.
3. Review the installation system
Ask the installer to review the manufacturer’s current instructions, subfloor requirements and recommended adhesive or installation method before the order is confirmed. Include transitions, wall base, stair components and other required accessories in the schedule.
Mohawk Group’s technical resources, for example, provide separate installation, warranty and care information. The product name alone does not replace those documents.
4. Check warranty and maintenance requirements
Review the warranty for the selected product and intended commercial application, including installation conditions and exclusions. Give the facilities team the appropriate maintenance instructions so cleaning arrangements can be considered before handover.
5. Match environmental documents to project requirements
Ask the consultant which documents the project requires, then check that each document covers the exact product or relevant product family.
Different documents answer different questions. An Environmental Product Declaration provides environmental impact information. A Health Product Declaration reports product contents and associated health information. FloorScore addresses VOC emissions for eligible hard-surface flooring and related products; it does not establish every aspect of product performance.
6. Reconcile quantities and delivery details
Confirm quantities, waste allowance, accessories, quotation validity, payment terms, freight responsibilities and delivery destination. Confirm the manufacturer’s current production or stock position and coordinate the required delivery date with the project programme.
Keep one agreed record shared by the customer, manufacturer, representative and logistics partners. This helps the team spot differences before materials arrive on site.
